Short Paper
SARES symposiums accept only short papers when the corresponding author applies for the symposium.
Please check the "Submission Preparation Checklist" section to fulfill the requirements before proceeding.
Your paper will be reviewed, and you'll receive some notices from the section editors on behalf of the Scientific Committee. Also, our production editors can send some instructions to fix some technical problems, like citations, referencing, etc.
Copyright Notice
Your submission should be original and free from plagiarism. The similarity couldn't be more than 10% and could not be greater than 1% from another single source. Please ensure you have completed your paper originally and not used AI to develop it. However, we're not objecting to using an AI language proofing tool to proofread your paper.
Additionally, please sign and submit Form 3b, "Copyright Declaration," to undertake this responsibility.

4. Legal basis and purpose for the processing of personal data
The processing of personal data in the data file is based on consent and submissions that the corresponding registrars, authors, speakers, invited speakers, and keynote speakers. The purpose of the processing of personal data is to:
- organize and develop events,
- any action to approve and improve the submitted information,
- publish and order the scientific research,
- transfer the required text, data, tables, images, forms, permissions to the publisher, journal or any medium for scientific areas,
- transfer the necessary information regarding the professional organization companies for face-to-face meetings,
- registering the online information to the online connection environments.
5. Data being processed
The data file contains the following data about the data subject:
- All provided e-mail addresses.
- Research title that is for the presentation and proceedings file title.
- Research file and all provided text as manuscipt and presentation.
- All requested and filled forms.
- All required information, including ORCID number, contact info, and affiliation info.
- event information, e.g., dietary requirements.
6. Sources of data
The data in the data file is received from the data subjects themselves when they register for an event. The main channel for disclosure and updating of data is the Online Journal System (OJS) and Online Publication System (OPS) installed in the SARES servers. Also, the data being stored in the Google Workspace (GW).
7. Disclosure and transfer of data and transfer to areas outside the EU or the EEA
The data is saved in OJS and GW, whose service providers may be located outside the EU or the European Economic Area. Information can be shared with our partners involved with the organization of the event as well as with the organizers of possible workshops. We may provide information about special diets to catering service providers. We ensure that our partners are committed to complying with data protection legislation.
8. Data protection and storage period
Only those employees who have the right to process personal data have access to the systems containing personal data. The systems are protected by usernames and password. Personal data will be stored up to one month after the event. The data controller rectifies, deletes or completes any personal data in the data file, which is inaccurate, unnecessary, incomplete or obsolete considering the purpose of the processing of the data, either on their own initiative or at the request of the data subject.
9. Rights of the data subject
The data subject has the right to review their data in the personal data file and to request the correction of inaccurate data, provided that there are legal grounds for this. The removal of personal data will be executed after the publishing. Any delays caused by the removal requests for the personal data prior to the time of publication could result to the legal sanctions. Also, the data subject also has the right to withdraw or change their consent after the publishing. It is registrars sole responsibility to understand and accept this gathering-publication event.
All contact and requests related to this statement must be submitted in writing or in person to the contact persons indicated in Item 2 of this statement.
10. Changes to the privacy statement
If this statement is changed, the changes will be visible in the statement and dated. If the changes are significant, information about them will be provided on the data controller’s website.
